Introduction This policy describes how Pragma Trading ("we", "us", "our") handles data accessed through API integrations and automation tools (including Google Cloud, Microsoft Graph, and middleware platforms). These tools are used exclusively for internal purposes to optimize business processes and centralize data.

2. Data Collection and Sources Our automations access specific business data sources, including but not limited to:

• Email attachments and metadata from selected business correspondence.

• Logistics data and invoice details from suppliers.

• Internal database records.

3. Purpose of Processing Data is processed solely for the following internal purposes:

• Automating data-entry processes.

• Generating management reports and cost analyses.

• Improving operational efficiency within Pragma Trading.

4. Storage and Access All processed data is stored within our secure cloud environments (such as Google BigQuery). Access to this data is strictly limited to authorized personnel within the IT department and relevant department heads. We never sell or share this data with third parties for commercial purposes.

5. Data Retention Data is retained as long as necessary for the aforementioned reporting purposes, with a standard retention period of up to 3 years, unless legal storage obligations require a longer term.
